Who we are

This policy explains how SPOR Group Limited collects, uses and protects your personal information when you visit our websites, contact us, download our resources, use our tools or work with us.

SPOR Group Limited (“SPOR”, “we”, “us”, “our”) is the data controller for this information. We’re a company registered in England and Wales (company number 12075154), with our registered office at 2nd Floor, Right Suite, Burlington House, Maidenhead, SL6 1SQ.

The policy covers wearespor.com and our related sites and pages, including spor-group.net, spor-group.com and our landing pages, as well as our emails, events and day-to-day dealings with clients, prospects and suppliers. We handle personal information in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Our services are aimed at businesses. We don’t knowingly collect information from children under 18.

The information we collect

Information you give us. When you fill in a form on our websites, download a resource, request a proof of concept or a design review, book a call, sign up to our newsletter, or contact us by phone or email, we may collect:

  • your name, job title and company

  • your work email address and phone number

  • details about your project, rooms, budget and timescales, including any floor plans or briefs you upload

  • your communication preferences and anything else you choose to tell us

Information we collect when you work with us. If you become a client or supplier, we also keep contract, billing and payment details, site and installation information, support tickets and service history, and the details of the people we deal with at your organisation.

Information collected automatically. When you visit our websites or open our emails, we collect technical and usage information, such as your IP address, browser and device type, pages viewed, how you arrived at the site, and whether you opened an email or clicked a link. Some of this comes from cookies; see our Cookie Policy.

Information from other sources. We may receive your business contact details from people who refer you to us, from our partners, or from publicly available business sources such as company websites and LinkedIn.

How we use your information

UK law requires us to have a lawful basis for each way we use your information. These are ours:

Where we rely on legitimate interests, we’ve balanced our interests against yours. You can object at any time (see Your rights).

Marketing emails

If you download a resource, use one of our tools or sign up to our newsletter, we may send you a short series of related emails and occasional insights about meeting room and workplace technology.

You can unsubscribe at any time using the link in any of our emails, or by contacting us at info@spor-group.com. We’ll keep a record that you’ve opted out so we don’t contact you again. We never sell your personal information to anyone.

Who we share it with

We only share your information where we need to, and our service providers may only use it to provide their services to us:

  • Service providers that host and run our systems, such as our website platform (Wix), customer relationship and email platform (HubSpot), email and file storage (Microsoft 365), accounting software, and analytics and advertising tools (such as Google and LinkedIn)

  • Installation partners and subcontractors who help us deliver projects and support, including our partners for work outside the UK

  • Manufacturers and distributors, where needed to register equipment, warranties or support cases

  • Professional advisers, such as accountants, lawyers and insurers

  • Authorities, where the law requires it

  • A buyer or successor, if all or part of our business is sold or reorganised, under the same protections as this policy

International transfers

Some of our service providers and partners store or access information outside the UK, for example in the European Economic Area or the United States. When this happens, we make sure appropriate safeguards are in place, such as UK adequacy regulations or the UK International Data Transfer Agreement or Addendum.

How long we keep it

We keep personal information only as long as we need it for the purposes in this policy:

  • Clients and suppliers: for the length of our relationship, then up to 7 years for contract, tax and legal reasons

  • Enquiries and prospects: up to 2 years after our last contact, unless you become a client

  • Marketing: until you unsubscribe; we keep a suppression record so we don’t email you again

  • Website and analytics data: as set out in our Cookie Policy

Keeping it secure

We use appropriate technical and organisational measures to protect your information, including access controls, secure systems and staff training. No system is completely secure, but we work to protect your information and will act quickly if anything goes wrong, including notifying you and the ICO where the law requires it.

Your rights

Under UK data protection law, you have the right to:

  • access the personal information we hold about you and get a copy of it

  • correct information that’s wrong or incomplete

  • delete your information, in some circumstances
