It is a question that comes up constantly when organisations are about to invest in meeting room AV. Should we go with a smaller local AV company or a larger national integrator? Both have genuine strengths. Both have genuine limitations. The wrong choice for your situation does not just cost money, it determines what happens when something goes wrong six months after handover and you need someone to fix it.


This is the honest comparison. Not a sales pitch for either model. The factors that actually determine which type of AV company is right for your project, your scale and your ongoing support requirements.


What the Labels Actually Mean

The terms small AV company, large integrator and one-man band get used interchangeably in the market. They are not the same thing and the differences matter.


One-man band or sole trader

Gary in a van. Installs hardware. Connects cables. May configure basic settings. Has no formal commissioning process, no helpdesk, no monitoring capability and no meaningful warranty management. Disappears after handover. Useful for very small, simple, one-room installs where you have internal IT capability to manage everything afterwards. Not appropriate for anything you need to work reliably for the long term.


Small AV company

A team of two to fifteen people. Often highly skilled technically. Strong personal relationships and direct access to the people actually doing the work. Lower overhead than large integrators, which can translate into lower project cost. Limited in scale, typically suited to projects of one to twenty rooms in a single location. Post-handover support and monitoring capability varies significantly. Ask specifically about both before engaging.


Large AV integrator

A team of fifty-plus people with dedicated project management, helpdesk, account management and monitoring infrastructure. Formal SLAs. Manufacturer certifications. Ability to support multi-site, multi-country deployments at scale. Higher cost. Sometimes harder to deal with, when something goes wrong you may not always speak to the same person. Best for organisations with complex requirements, large estates or high expectations around structured ongoing support.

Six factors. The right answer on each one depends on your specific situation.


Cost

A smaller AV company will almost always come in at a lower upfront cost than a large integrator for an equivalent spec. Lower overhead, fewer management layers, less sales infrastructure to fund. However, lower upfront cost does not mean lower total cost of ownership. A cheaper installation with no monitoring, no managed warranties and reactive-only support can cost significantly more over three years than a higher-priced installation with all of those things included.


Personal service

One of the genuine strengths of smaller AV companies. You know who to call. The person who designed your system is often the person who installs it and the person you speak to when something needs fixing. For straightforward projects this continuity is genuinely valuable. The risk is what happens when that person is unavailable, moves on, or the company does not scale with your needs.


Project scale

Below ten rooms in a single location, a smaller certified integrator is often the best fit. Ten to fifty rooms across multiple sites, you need a company with the infrastructure and team to support that scope. Above fifty rooms or multi-country deployments, a large integrator with dedicated project management and account management is the right conversation.


Post-handover support


This is the question most buyers forget to ask and the most important one on this list. Who do you call when a room fails at 9am on Monday? What is the response time? Is there a formal SLA? Is monitoring included? A small company may not have a dedicated helpdesk. A large integrator will. Understand exactly what happens after handover before you sign anything. Manufacturer certification


Microsoft, Logitech, Neat, Cisco and other major manufacturers operate certification programmes for AV integrators. Certification means the supplier has been trained, tested and audited against defined standards. An uncertified company can install the same hardware but without the training and accountability certification provides. Always ask specifically which certifications a potential supplier holds.

If you have more than five rooms, proactive monitoring is not optional. It is the difference between rooms that work reliably and rooms that fail in front of the people who matter most. Ask whether the AV company operates its own monitoring platform or subcontracts monitoring to a third party. Answer these honestly before inviting anyone to quote. They will save you significant time and prevent the wrong choice.


How many rooms do you have and across how many sites?


This is the most straightforward filter. Below ten rooms in one location, a smaller certified integrator is usually the right fit. Ten to fifty rooms across multiple sites, scale and infrastructure start to matter. Above fifty rooms or across multiple countries, a large integrator with dedicated project management is the right conversation. Trying to use a small company for a large multi-site deployment creates problems that compound over time.


What does post-handover support look like and what are your expectations?


Define what you need before asking anyone to quote. Do you need a four-hour response SLA? A named account manager? Proactive monitoring with alerts before failures happen? Or is reactive support on request sufficient for your organisation? Different types of AV company offer different support models. Make sure the model you are buying matches what you actually need.


Do you need ongoing monitoring across the estate?

For any estate of more than five rooms, the answer should be yes. The question then is whether the AV company you are considering operates its own monitoring platform or not. If they subcontract monitoring, understand who actually responds when an alert fires and what the response time is. If they have no monitoring capability at all, you are buying a reactive-only service regardless of what the SLA document says.
